GIA Sweden’s proven work model – 3 steps

1. Initial funding analysis – identifying funding opportunities

The process starts with an extensive analysis of your organization, your planned activities such as the project pipeline and investment portfolio. This allows us to identify the projects and investments that may be subject to public financing. We subsequently collect information on the funding opportunities with regards to each project and give recommendations on suitable programs. During this process we also contact the funding bodies (if relevant) in order to discuss the funding opportunities and inform about the potential impact of the planned project.

2. Support during the application process

Once funding opportunities have been identified we offer assistance during the application process. Our role may include offering quality assurance of the application or coordinating the whole application process, through the creation of a high-quality application and maintaining contacts with all partners, as well as manage the contact with the relevant authorities, in order to ensure their support. With our long list of successful applications, we can quickly and efficiently create a high quality application and texts that present your project in the most positive light.

3. Project management and reporting

Once the application has been approved and funding granted for the project/investment, GIA Sweden will apply our considerable experience in ensuring that the project organisation is ready and capable to ensure that the project administration will be completed in an efficient and transparent way. This includes assessing the routines for time reporting (i.e time sheets), collection and storage of bills and the reporting of results from each partner. This information is then used to assemble formal reports and financial statements that are required by the funding authorities supporting the project.

GIA Sweden has developed pedagogical templates and routines, through which an efficient reporting is facilitated and the quality of all submitted reports increased. By applying our own templates and structure and continuously informing all partners on their obligations, we make the administration of the project a much easier process.

Identifying funding opportunities (Stödanalys)
An assigned expert from GIA Sweden will work closely with the client, in order to gather all relevant information concerning the specifics of the project(s) and planned activities as well as more general information about the organisation. This normally includes in-depth discussions (physical or via telephone/email) with the project leaders as well as senior management. GIA Sweden will use developed our own checklists and templates developed over the years, in order to allow us to quickly find the information we need.

Based on the information collected we will then analyse all existing public funding options and determine their suitability. We will also use our established contacts with various grant authorities to discuss the specifics of the project and the organisation, in order to evaluate them on your behalf.

The results from our analysis are then collected in a report that extensively describes all suitable funding options identified, including information about the potential funding, specific criteria of the program and our recommendations concerning which applications that should be prioritised.

The report is normally presented during a meeting with your key staff, where we discuss all relevant matters and also answer any questions you might have on the specifics of each funding instrument.

The report will be an important tool in the decision making process on future financing and can easily be reproduced and shared within the organisation as a handbook of sorts. The report thereby becomes a vital part of your strategy for how you can work more efficiently with public funding.

Support during the application process (Assistans vid ansökan)
GIA Sweden can handle the whole application process through the creation of professional applications as well as presenting them to the relevant grant bodies (among others the European Commission). Depending on the scope of our assignment we may take full responsibility for the coordination of the application process, alternatively support the applicant(s) with quality assurance of all parts of the application. No matter our role, we will ensure that your project objectives clearly relates to the funding program’s goals and argue for maximum funding for the particular project/investment.

When more complex applications are expected we can also offer legal advice, such as drafting contractual agreements between partners (consortium agreements, etc) and offer support in relation to the negotiations with the responsible authority.

Project management and reporting (Projektadministration)
GIA Sweden will support the project and its participants in the management and administration of the project from start to finish. This may include participating in steering groups, managing communication with the grant authorities and ensuring that all documentation sent to the financier fulfils the formal criteria.

Our role normally involve assisting in compiling the formal reports and financial statements that are required at certain intervals throughout the project’s lifetime, in order to release the next installment of the grant. We also ensure that, in case changes to the original project plan are required, relevant arguments are presented so that the changes are accepted.
